In short: A casino platform migration succeeds or fails on five things: a complete export of player, wallet and KYC data; a reconciliation of every balance before and after; a parallel run so players never see a closed cashier; redirects that keep your search rankings; and a cut-over window chosen when traffic is lowest. Plan it as a project with an owner, a checklist and a rollback, not as a weekend switch.

Operators switch platform providers for ordinary reasons: the current provider cannot add the games or payment methods a market needs, fees have grown faster than revenue, the back office cannot report what the licence requires, or the roadmap stalled. The risk is not the new platform. It is the transition, where balances, documents, bonuses and URLs can be lost in the gap between two systems. This checklist walks through the migration in the order the work actually happens.

Before you sign with the new provider

  1. Get the exit terms of your current contract in writing. Notice period, data export format and timing, who owns the domain and the brand, and what happens to player balances held in the provider’s wallet. Everything else in this checklist depends on those answers.
  2. Ask the new provider for its import capability. Which fields it can take for players, balances, KYC status and documents, bonus state and transaction history; in which format; and whether it has done a migration of your size before.
  3. Map your products. Casino, sportsbook, crypto rails, affiliate and agent programmes: confirm each exists on the new platform and which games, feeds and payment methods are integrated for your markets. Our guide to what a white-label casino includes lists the layers to compare.
  4. Agree a migration plan with owners. One person on your side and one at each provider, a dated plan, and a rollback decision point.

The migration checklist

Area What to migrate or prepare Check before cut-over
Player accounts Profiles, contact details, registration dates, status (active, self-excluded, closed), consent records Row counts match; self-exclusion and limit flags carried over; no duplicates created
Wallet balances Real money, bonus money, pending withdrawals, open bets and unsettled game rounds Sum of balances exported equals sum imported, per currency; open rounds settled or carried
KYC and AML records Verification status, documents, risk ratings, source-of-funds notes, audit trail Verified players stay verified; documents retrievable for the retention period the licence requires
Transaction history Deposits, withdrawals, bets, wins, bonus movements, adjustments History available for reporting and disputes; totals reconcile to the old platform’s reports
Bonuses and promotions Active bonuses with wagering progress, scheduled campaigns, VIP tiers, loyalty points Wagering progress preserved or compensated; campaigns re-created on the new engine
Payment methods Payment provider accounts, saved payment instruments where permitted, withdrawal rules Each method tested live for deposit and withdrawal in each market before launch
Games and content Game catalogue by market, favourites, RTP settings, jackpot contributions Every game in the top list by turnover is live on the new platform; missing titles listed
Affiliates and agents Partner accounts, tracking links, commission rules, unpaid balances Links keep working or redirect; commissions reconciled to the cut-over date
Front end and SEO Domain, URLs, page content, metadata, sitemap, analytics tags Redirect map covers every indexed URL; sitemap submitted; tags firing
Support and CRM Ticket history, email and SMS templates, segments, automation Templates re-created; player communication plan ready
Compliance and reporting Regulatory reports, responsible-gambling tooling, data retention First reporting cycle on the new platform rehearsed before cut-over

Reconciliation: the step that protects you

Every migration should produce a reconciliation file signed off by both providers and your finance lead: for each currency, the total real-money balance, bonus balance and pending withdrawals at the freeze time on the old platform, and the same totals after import on the new one. Any difference is explained line by line before players are let in. Keep the old platform’s final reports and the export files for as long as the licence requires. Reconciliation is also what you show a regulator if a player disputes a balance months later.

The parallel run and cut-over

  1. Build and test the new brand in private. Games, cashier, bonuses, back office and affiliate tracking tested by your own team with real payment methods in test mode.
  2. Import a sample first. A few hundred accounts, including edge cases: self-excluded players, players with pending withdrawals, players mid-bonus, VIPs. Reconcile the sample and fix the import before touching the full base.
  3. Announce the switch to players in advance. Date, expected downtime, what happens to balances and bonuses, how to reach support.
  4. Freeze and export. At the chosen low-traffic window, disable deposits and new bets on the old platform, settle open rounds, take the final export and the final reports.
  5. Import, reconcile, sign off. Do not open the new site until the reconciliation is clean.
  6. Switch DNS and redirects. Point the domain to the new platform, enable the redirect map, submit the new sitemap.
  7. Open with limits. Lower withdrawal and bonus limits for the first days, monitor the cashier and the support queue hourly, and keep the rollback window open until the first full reconciliation cycle on the new platform completes.

Keeping your search traffic

A platform switch often changes the front end, and a changed URL structure without redirects loses rankings that took years to earn. Export every indexed URL from Search Console and the old sitemap, map each one to its new address, and return a permanent (301) redirect from old to new. Keep titles, headings and body content of the pages that earn impressions as close to the old versions as the new platform allows, and keep the blog if it brings traffic. Re-submit the sitemap and watch Search Console for crawl errors in the first weeks. The same discipline applies to affiliate tracking links, which are URLs too.

What to ask the new provider about migration

The casino back-office tools operators use are where most of this reconciliation happens, so review that part of the new platform first. If the switch is also a move from a custom stack to a provider, our guide to build vs buy for casino platforms covers what you hand over.

Frequently Asked Questions

How do you migrate an online casino to a new platform? Export players, balances, KYC records, history, bonuses and affiliate data from the old platform; import a sample and reconcile; build and test the new brand privately; then freeze the old site at a low-traffic window, do the full import, reconcile every balance, switch DNS with redirects, and open with limits.

How long does a casino platform migration take? From contract to cut-over is usually measured in weeks to a few months, driven by data mapping, payment onboarding and testing rather than by the platform itself. The cut-over window, when players cannot deposit, should be hours, not days.

Will players lose their balances or bonuses when we switch provider? Not if balances are reconciled per currency before the new site opens and active bonuses are carried over or compensated. Agree the treatment of bonus balances and wagering progress with both providers before the freeze.

Do we lose our Google rankings when we change casino platform? Only if URLs change without redirects or page content is rewritten wholesale. A full 301 redirect map, preserved titles and content, and a resubmitted sitemap keep most rankings intact.

What happens to KYC records in a migration? Verification status, documents and audit trails must move with the player so verified players are not asked to re-verify and the licence’s retention requirements continue to be met. Confirm the new platform can store the documents and the history.

Can we keep our affiliates when switching platform? Yes, if partner accounts, tracking links and unpaid commissions are migrated or redirected and commissions are reconciled to the cut-over date. Tell affiliates the date in advance and give them new links where needed.
